Service Writer

The Service Writer plays a vital support role within the Service Department and works closely with the Service Manager to ensure service-related tasks are completed efficiently, accurately, and on time. This position requires strong organizational skills, attention to detail, and effective communication with technicians, management, customers, and the warranty department. The ideal candidate thrives in a fast-paced environment and is committed to accuracy, customer service, and teamwork.

 

The Service Writer will complete, but is not limited to, the following duties:

  • Enter all technician time cards into the DIS system daily.
  • Print and review a labor analysis report for correct billing, then file it for record-keeping.
  • Type and input detailed stories for all work orders.
  • Verify and total labor entries on hard copies, ensuring they match what is billed in DIS.
  • Handle billing for all hauls (except rentals), including permit fee billing.
  • Prepare all warranty work orders, ensuring accuracy and completeness.
  • EZ File all hard copies and email all warranty work orders to the warranty department within 10 days of the last labor date.
  • Ensure all warranty work orders include travel time and service calls, separated from standard charges.
  • Collect and forward all required photos to the warranty department before sending the work order.
  • Confirm that warranty documentation complies with company and manufacturer requirements.
  • Assist the Service Manager with any additional tasks necessary for department efficiency.
  • Follow and uphold all company policies and safety procedures as outlined in the Employee Handbook.

 

Qualifications

  • Previous experience as a Service Writer, Service Coordinator, or administrative role in a service environment preferred.
  • Experience with DIS or similar dealership/service software is a plus.
  • Strong written and verbal communication skills.
  • High level of accuracy and attention to detail.
  • Ability to manage multiple tasks and meet deadlines.
